These are the basics for creating an accessible PDF document, such as minutes or agendas.
Making Sure Your Word Doc is Accessible
Are you ready to save your Word document to share or convert to PDF?
First, check the following:
- Are your fonts easy to read?
- Do any images with text have enough contrast to be read easily? Use the WebAIM Contrast Checker if you're unsure.
Then:
- Go to Review > Check Accessibility.
- View the results.
- Select each item to jump to the element causing the error.
Common Issues
Hard-to-read Text Contrast
Solution: Increase the contrast
Missing Alt Text
Solution
Add an image description.
- Do not use text like "Picture of" or "Photo of" or "Graphic of" as the screen reader will generally add this.
- If the image contains text, duplicate the text unless the same information is presented in the document nearby.
- If the image is purely decorative, select "Mark as Decorative."
Note: If the image repeats information, such as the following example, where a picture of Abraham Lincoln (not doing anything that needs extra information) is followed by the heading "Abraham Lioncoln", you may mark the image as decorative.
Exporting Word to PDF
Select "Review"
