Making Sure Your Word Doc is Accessible

Are you ready to save your Word document to share or convert to PDF?

First, check the following:

  • Are your fonts easy to read?
  • Do any images with text have enough contrast to be read easily? Use the WebAIM Contrast Checker if you're unsure.

Then:

  1. Go to Review > Check Accessibility.
  2. View the results.
  3. Select each item to jump to the element causing the error.

Common Issues

Hard-to-read Text Contrast

Solution: Increase the contrast 

Missing Alt Text

 

Solution

Add an image description.

  • Do not use text like "Picture of" or "Photo of" or "Graphic of" as the screen reader will generally add this.
  • If the image contains text, duplicate the text unless the same information is presented in the document nearby.
  • If the image is purely decorative, select "Mark as Decorative."

Note: If the image repeats information, such as the following example, where a picture of Abraham Lincoln (not doing anything that needs extra information) is followed by the heading "Abraham Lioncoln", you may mark the image as decorative.

Select "Review"
